UK hospitality operator Whitbread, parent company of budget hotel chain Premier Inn, has expanded its strategic collaboration with Microsoft to roll out enterprise agentic AI capabilities across its corporate operations. The initiative focuses on deploying responsibly governed AI agents to automate data-heavy workflows and streamline back-office administration, allowing staff to focus on high-touch guest services.
The operational expansion follows an initial pilot program involving Microsoft 365 Copilot, which delivered average productivity savings of 24 minutes per user daily across support centre staff.
Scaling Agentic AI and Location Intelligence
As part of the deployment, Whitbread is empowering employees to build custom AI agents aimed at specialized business functions. In property development, the group has developed a dedicated location analysis agent designed to evaluate expansion targets. By aggregating and scoring complex metrics including driving distances, local amenities, and demographic data the agent establishes a data-driven baseline for site selection decisions.
To support wider adoption, Whitbread established an AI Enablement Office alongside a formal governance framework. This structure ensures that employee-built AI agents undergo thorough evaluation regarding data safety, operational ownership, and cost management before being scaled into shared enterprise services.
Following the success of its internal “Digital Heroes” enablement initiative conducted between September 2025 and March 2026 across 270 head-office colleagues Whitbread is extending Copilot deployment to 1,650 employees across its support centre and multi-site hotel management teams.
Preserving Human-Centric Hospitality
Despite automating routine research, presentation drafting, and administrative tasks across eight operational divisions, Whitbread maintains a strict “human-in-the-loop” philosophy. The digital transformation strategy focuses on enhancing workforce productivity while protecting frontline guest-facing roles.
By leveraging AI as a “third workforce,” internal teams such as the group transformation function have successfully absorbed expanded enterprise project volumes without incurring additional overhead or increasing headcount.
Executive Insights
“We’re a budget hotel business; we need to justify every pound that we spend… Keep the human in the loop where it’s really important for the human to be in the loop, which is serving the guest. We’re trying to get our people to do better-quality work in a more productive manner, to drive value to our guests and our shareholders.”
— Mark Smith, Group Chief Technology Officer, Whitbread
“The output that Copilot has been able to generate has been getting better. And the quality of the work has been slowly getting better to the point where I think it’s probably reducing my time by at least a third… The judgement is still coming from you. You have to do that.”
— Domenica Sabou, Senior Location Strategy & Data Manager, Whitbread
“The decisions will never go away from that kind of human sense-check… We’ve been able to keep our team number quite static because we’ve used Copilot as almost our third workforce to be able to support us.”
— Emma Cluett, Head of Delivery Transformation, Whitbread
